One Body Mind Pty Ltd (ACN 682 839 372), trading as OneBodyMind (“OneBodyMind”, “we”, “us”, “our”) provides consulting suites and practice-management services to independent mental health and allied health practitioners at Unit 12, The Parks, 154 Fullarton Road, Rose Park SA 5067. Each practitioner practises from our premises under a licence (our Facilities Use and Services Agreement) and runs their own independent practice. We do not provide health services ourselves, and we are not a party to the relationship between a practitioner and their clients.
We handle personal information in accordance with the Australian Privacy Principles in the Privacy Act 1988 (Cth). Because some of the information we handle on practitioners’ behalf is health information, we treat all of it with the care that health information requires.
We handle personal information about four groups of people:
When you use the contact form we collect your name, email address, phone number if you give it, which group you belong to, and your message. When you request our brochure we collect your name, email address, phone number if you give it, and your profession. We use this information to answer your enquiry, send the brochure and follow up, and for no other purpose. We do not add you to marketing lists.
Form submissions are processed by a script running on Google’s infrastructure (Google Apps Script) and delivered to our email. Please do not include health information or details about your circumstances in a website form that you would not be comfortable sending by ordinary email; the form is for making contact, not for clinical matters, and it is not monitored for urgent messages. If you or someone you know is in crisis, call Lifeline on 13 11 14 or 000 in an emergency.
Measuring how the site is used. We count visits so we can see which pages people find useful. The measurement is done by the same company that hosts and delivers this website, so no additional party sees your visit. It sets no cookies and stores nothing on your device, and it does not attempt to recognise you by your IP address, your browser fingerprint or anything else: it records the page address, the site or search engine you arrived from, a country, and a device type. None of it identifies you and none of it can be traced back to you, which is why this site has no cookie banner and there is nothing for you to opt out of.
Advertising. We advertise on Google — both to practitioners looking for consulting rooms and to people looking for a therapist. To know whether that money is doing anything, we need to see when someone who clicked an advertisement then contacts us. Google’s measurement tag does that, and it does set a cookie.
We have deliberately limited where that tag runs. It is on the home page, What we do, What we offer, Our spaces, Contact us, Find a Therapist and the suburb pages — and nowhere else. It is never placed on a page about a particular mental health condition, on a page about a type of therapy, or on the Before you book guides. Those pages carry no advertising tag and set no advertising cookie, because what you read there is nobody’s business but yours, and we would rather measure our advertising less precisely than know that about you.
What we do not do. We do not build remarketing or retargeting audiences, so nothing you do here causes you to be followed around the internet by our advertisements. We do not use tracking pixels from social media platforms. We never pass what you read on this site to an advertising network, and we do not build a profile of you. Reading about a mental health condition on this website does not cause you to be advertised to anywhere, by us or by anyone else.
The typeface and every image on this site are served from this site itself, so apart from the analytics described above no third party sees your visit. Links to practitioners’ own websites and online booking systems take you to services operated by the practitioner, under their own privacy policies.
Under the Facilities Use and Services Agreement, each practitioner appoints us to provide reception and administrative services on their behalf. In doing so we handle information about their clients, including:
Clinical records — session notes, assessments and reports — belong to the practitioner. Our reception and administrative staff are not asked to read clinical notes and do not do so. Each practitioner has their own privacy policy covering their clinical records, and questions about a clinical record should go to the practitioner.
We use client information only to provide the administrative services the practitioner has engaged us for. We do not use it for marketing and we do not disclose it except to the practitioner, to Services Australia (Medicare) and Tyro for claims and payments, to the service providers in section 6, and where the law requires.
From prospective and current licensees we collect contact details, qualifications, registration and professional-membership details, insurance details, bank account details for direct debit, and the information needed to set up the practice-management and payment systems. We use it to assess an enquiry, enter into and administer the licence, invoice and collect fees, and list the practitioner on this website where they have chosen to be listed. Practitioner profile pages contain only information the practitioner has supplied and approved.
Information is held in the systems we use to run the practice: PracSuite (practice-management software), Tyro (payments and Medicare claiming), Google Workspace (email and forms) and Microsoft 365 (documents). Each provider is bound by its own privacy and security obligations. Some of these providers store or process data outside Australia; where that is the case we take reasonable steps to ensure the information is handled in a way consistent with the Australian Privacy Principles.
We protect information with access controls, secure storage and encryption in transit, and we limit access to staff who need it for their role. We keep information only as long as it is needed for the purposes above or as the law requires, and then delete or de-identify it. Records that belong to a practitioner are retained and disposed of according to the practitioner’s obligations, not ours.
You may ask to access or correct personal information we hold about you by contacting us using the details below. We will respond within a reasonable time and, where we hold the information as a practitioner’s agent, we will coordinate with the practitioner. If you believe we have breached the Australian Privacy Principles, please tell us first so we can investigate and respond, normally within 30 days. If you are not satisfied with our response you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.
We are subject to the Notifiable Data Breaches scheme. If a data breach is likely to result in serious harm to anyone whose information we hold, we will notify the affected people and the Commissioner as the scheme requires, and we will notify the relevant practitioner where the information is held on their behalf.
We may update this policy from time to time. The current version is always published on this page with its effective date.
